QUARTERLY TIP: Permission-Based E-mail

The role of e-mail in strengthening government-to-citizen communication has increased dramatically over the past few years as e-mail has become ubiquitous in society, with more than 91% of Internet users using e-mail (Pew Internet & American Life Project). With inboxes filling up with unwanted e-mail (i.e., spam), people are becoming more discerning about what they will read and are demanding to have more control over what they receive. They only want e-mail from known senders about known topics. In other words, e-mail senders must have permission to enter recipients' inboxes and must be delivering specific information that the recipient requested, rather than just one-size-fits-all updates.

GOVDELIVERY SUCCESS STORY:
Oregon Department of Human Services

http://www.oregon.gov/DHS/index.shtml

How do you know which lakes in your area are safe to swim in? How do you stay on top of when and where flu shots are available? To find the answers to these health questions and many more, Oregonians do not need to look further than their inboxes. Since the Oregon Department of Human Services launched GovDelivery ESM, Oregonians who want more information on anything from Bluegreen Algae Advisories to Communicable Disease Summary get the latest health news sent to them as soon as it is updated on the department's website. Residents can select from more than 130 specific topics that affect their quality of life.

Since launching GovDelivery ESM a year ago, the Oregon Department of Human Services:

  • Sent more than 700,000 e-mails to subscribers.
  • Signed up nearly 7,500 subscribers and obtained an average of more than 10 subscriptions per subscriber.
  • Developed the ability to deliver timely communications to subscribers at a reduced cost.
  • Incorporated more than 130 specific subscription items including:
    • Beach Monitoring Alerts
    • Communicable Disease Summary
    • Pain Management Events
    • Visual Services Programs

BEHIND THE SCENES:
Fritz Bogott, Director of Application Development

Fritz Bogott joined the GovDelivery team in November 2000 as the Director of Application Development. He worked with the company co-founders to translate their vision of creating an e-mail alert system for the public sector into technical reality. Today, he continues to oversee the design and development of the GovDelivery E-mail Subscription Management solution. Prior to GovDocs, Fritz worked for industry-leading companies such as WAM!NET, ABB/Amdata, and Pratt and Whitney/Cenco.

Fritz received a Master of Science in Operations Research from the Georgia Institute of Technology and has an undergraduate degree in math and German. When he is not at work, Fritz enjoys spending time at a neighborhood park with his two children, brushing up on his German and Mandarin Chinese language skills, and perfecting the art of home-brewed coffee.

GOVDELIVERY FEATURE HIGHLIGHT: Page Watch

Automation makes GovDelivery ESM a truly unique and powerful e-mail alert system. One of its proprietary features, Page Watch, is the driving force behind the automation, allowing you to send updates proactively when updates occur on your website.

What it Does
Page Watch monitors GovDelivery clients' webpages, or sections of pages, and proactively generates e-mail alerts when changes are detected. The alerts are sent automatically to subscribers or to an administrator for approval.

Page Watch Benefits
  1. Proactively lets citizens know when new information is available
Citizens are 5 times more likely to use e-mail on a given day than to visit even one government website (Pew Internet & American Life). Page Watch automates the alert process, letting citizens know that new information is available on the website, rather than waiting and hoping they'll find it on their own.
  2. Automation makes administration simple, making it easy to offer more subscription options
Page Watch allows administrators to quickly and efficiently notify subscribers when website content changes, which allows you to offer many more subscription options than manual systems (typically 10-40 times more options). Page Watch can monitor all of your webpages simultaneously and automatically generates alerts as content is updated, without administrative oversight.
  3. 100% Compatible with current systems
Page Watch connects your content management process with e-mail communication by noticing changes on your website and sending e-mails to interested subscribers either automatically or with administrative approval. That means you don't have to change the way you're updating your website to use Page Watch.
